Google Now Moderates Business Review Replies — Your Responses May Not Go Live Instantly
What happened
Google has introduced a moderation layer for business-owner replies to Google reviews. Previously, when you replied to a customer review on your Google Business Profile, the response went live immediately. Now, every reply enters a moderation queue and is assigned one of three statuses: Pending, Approved, or Rejected.
The change was confirmed through Google's Business Profile API (v4.9), which introduced a new ReviewReplyState field. According to Thrive Agency's analysis, Google says most replies are reviewed within about ten minutes, though in some cases the process can take up to thirty days.
Replies that get flagged typically share common patterns: copy-pasted responses used across dozens of reviews, keyword-stuffed language ("Thanks for choosing the best London plumber for emergency boiler repair"), promotional messages with phone numbers or links, and responses that sound AI-generated without any reference to what the customer actually said.
What this means for tradespeople
If you're a plumber, electrician, or builder who replies to every review with the same "Thanks for choosing us, we appreciate your business!" template, those replies may stop appearing on your profile.
This matters because review replies are one of the few ways you can show prospective customers that you're responsive and professional. A profile full of unanswered reviews — or worse, one where your replies keep disappearing — looks worse than not replying at all.
The good news: if you're already writing genuine, personalised replies that reference the actual job ("Glad the boiler installation went smoothly, Mrs. Thompson"), you've got nothing to worry about. Google is targeting spam, not sincerity.
What to do about it
- Stop copy-pasting the same reply across all your reviews. Even small variations help — mention the job type, the area, or something the customer said.
- Avoid promotional language in replies. No phone numbers, no "call us for 10% off", no keyword stuffing.
- Check your replies are going live. If you notice responses aren't appearing, your wording may be triggering the moderation filter.
- Keep replying — this change doesn't make replies less important. It just raises the bar on quality.
